What to include on your invoice
- The quote or contract it relates to, by number
- Which stage of the work this invoice covers
- Variations (changes to the original job) on separate lines, with the date they were agreed
- Amounts already paid for earlier stages, if you show a running total
- Your payment terms, matching your contract
Tips
- Tie each stage payment to a clear point in the job, such as foundations done or roof on, so there's no argument about whether it's due.
- Number variations and get each one agreed in writing before you start it.
- In Australia, payment claims under your state's security of payment law have their own rules, so check them before relying on this layout for one.
- Photograph the finished stage and keep the photos with the invoice.

What's a stage payment?
A part-payment for a section of the job, agreed at the start. On a big build it keeps cash coming in and limits what you're owed at any time.
What's a variation?
A change to the original job, such as an extra window or different materials. Price it, get it agreed, then invoice it on its own line.
Can I add a Google review QR code?
Yes. Paste your Google review link and the footer shows a small "Happy with our work?" code. Asking every customer, with nothing offered in return, is allowed by Google.
