What to include on your invoice
- The date and type of shoot
- What's delivered: number of edited images, prints or albums
- Any booking fee or retainer already paid
- How the client may use the photos (the licence)
- When and how the photos will be delivered
Tips
- Spell out the usage licence on the invoice. It's where most photography disputes start.
- Take a booking fee when the date is confirmed and show it on the final invoice.
- For business clients, include the purchase order number if they gave you one.
- Deliver a few favourite images straight away, with the invoice and your review link.

Questions about this tool
What should the licence line say?
Who may use the photos and how, for example personal use only, or use on the client's website and social media. If in doubt, ask a lawyer to word your standard licence.
Should I show a retainer as a minus line?
Yes. A line like "Less booking fee paid on 1 May" with a negative amount shows the balance still owed.
Can I add a Google review QR code?
Yes. Paste your Google review link and the footer shows a small "Happy with our work?" code. Asking every customer, with nothing offered in return, is allowed by Google.
